FAQ for agency partners
Can I just use the distribution features?
Yes. Many agencies use Heartspace solely for distribution. AI and collaboration features are optional and can be ignored if you prefer your own workflow.
How does support and onboarding work?
Agency partners get direct Slack access and dedicated onboarding. We help with technical setup (DNS, domains) and your first campaigns.
Who is behind Heartspace?
Sohrab (former PR expert at Westander + regional director Företagarna) and Nirvana (former at Dalarna Science Park). Built by PR pros who were tired of clunky, non-intuitive tools that didn't fit real agency workflows.
What's included in the license?
Everything: Distribution, AI drafts, verified journalist database, team and client management. No hidden fees for core features. You get three team seats and unlimited client workspaces.
Is this white-label?
Emails are always without Heartspace branding. The platform interface can be delivered with full "white-label" (custom domain, logo, colors) as an optional add-on, so you can present it as your own tool to clients.
Can I resell Heartspace to clients?
Yes. With the white-label add-on, you can sell access to your clients at your own price. Without it, you can still invite clients to collaborate for free, but they'll see Heartspace branding. Emails to journalists are always unbranded and go out as regular emails.
How does billing work for multiple clients?
One license covers unlimited client workspaces. You pay once and then create as many client accounts as you need. No per-client fees.
Is client data isolated?
Yes. We use strict Row-Level Security. Client A's lists and data are completely invisible to Client B, even if managed by the same agency admin.
Are there usage limits?
We have a generous fair-use policy (for example, 25,000 emails per month across your account). That's enough for almost all agencies. Custom plans available if you need more.
Can I manage permissions?
Yes. Role-based access lets you configure Admins, Team Members, and Clients (Read-only, Approver, or Editor) to fit your specific workflow.
How do unsubscribes work?
Scoped per client. If a journalist unsubscribes from Client A, it doesn't prevent you from pitching them for Client B.
Is media monitoring comparable to Meltwater/Retriever?
Not yet. We focus on being the best distribution tool. Our monitoring provides AI-summarized industry news and content ideas as a powerful bonus, but it's not a full replacement for dedicated enterprise suites.
Can we give feedback and request features?
Absolutely. We build what our partners need. You get direct access to the founders via Slack and WhatsApp to request features and shape the roadmap.
